How far in advance to order party invitations

The honest order-by timeline for kids' parties, 21sts, engagements and corporate events — with print turnaround built in.

Invitations are the one print job where the date does most of the damage. Order too late and you are paying rush fees to hit an RSVP window that is already tight; order too early and guests genuinely do misplace the card. The sweet spot is not mysterious — it is the event date, minus a sensible RSVP window, minus real print turnaround. Here is the working maths we run through with people ordering invitations from our Moorebank studio, so you can count backwards from your own party.

The count-back rule

  • Work backwards from the party. Guests need the invitation 4–6 weeks before the event to hold the date (longer for December and weddings). Before that, add 1–2 weeks for RSVPs to actually land. That sets your send date.
  • Then subtract print time. Standard turnaround on a straight-to-print invitation is roughly a week, and you want a proof approved and buffer days in hand. That means the real order-by date is about 7–8 weeks before the event.
  • Design time counts too. If the invitation needs designing from scratch — not just printing a finished file — add another week or two. A same-week order is possible, but it eats the buffer instead of the calendar.

The December row matters more than it looks: schools break up, halls book out and printers run full tilt on Christmas work. A Sydney party in mid-December wants invitations ordered in early November, not two weekends before.

What actually takes the time

  • The proof, not the press. Printing itself is fast; the back-and-forth on wording, dates and names is what eats the calendar. Lock the details before you brief — a changed venue after printing is a reprint at full price.
  • RSVP printing. Printed RSVP cards with a reply-by date add a day or two to finishing, and give you a firm number for catering. If you are collecting RSVPs by text or a QR code instead, skip the extra card and save the lead time.
  • Stock choice. Thicker or specialty stocks can add a little turnaround, and the finish decision is easier with the paper in front of you — our GSM guide covers what 300gsm feels like versus 250gsm.

Running late?

  • Four weeks out: still workable. A clean, print-ready file with a fast turnaround keeps the 3-week send window in most cases — the exact timing depends on the day it lands, so ask and we will tell you straight.
  • Two weeks out: shrink the print scope. Simpler flat cards instead of folded, one size, no special finishes, and get the proof back same-day. This is where same-day printing thinking applies to the small stuff.
  • Honestly late: consider a short-run card for close family now and digital invitations for everyone else — a hybrid most hosts quietly end up with. Paper for keepsake, digital for speed.

FAQs

How far in advance should I send party invitations?

Four to six weeks before the event for most parties — earlier (six to eight weeks) for December dates, milestone birthdays and anything guests travel for. Kids' parties can run at three to four weeks.

How long does invitation printing take?

Roughly a week from approved artwork for a standard run, plus a day or two if you add printed RSVP cards. Rush turnaround is possible for simple jobs — ask before you commit to a date.

Is it rude to send invitations late?

Guests will forgive a slightly late invitation more than a clashing weekend. If you are inside three weeks, send early and be upfront — a quick message holding the date beats a perfect card that arrives too late to plan around.

Can I get invitations printed same week?

Usually yes for a simple flat card with print-ready artwork — it depends on the queue the day you order. Anything folded, layered or specialty-finished needs longer.

The full paper, size and finish rundown lives in our invitation printing guide, and the print services page shows what runs through the Moorebank studio.
